Frequency

It is important to determine how often these meetings occur. Daily standup meetings for example occur just as their name indicates: daily. In these meetings, communication is brief and only focused on concise and relevant updates. Any issues or work that needs more explanation and further understanding should be discussed following this meeting.

Sometimes groups will establish their own keywords and plans for how these tangents can be handled. Be sure to outline these expectations clearly for everyone. The Product Owner should feel comfortable redirecting meetings when they begin to digress. Other meetings require different frequencies, the sprint retrospective meeting for example should occur at the end of each sprint.

Duration

The length of these meetings also needs to be clarified. Scrum timeboxes the duration of each meeting.  The daily stand-up meeting is timeboxed to a maximum of 15 minutes.  Note that this refers to the maximum duration of the meeting, so if all team members have contributed to the meeting then the meeting should be ended.

Lastly, be sure that you are presenting a consistent message. Everyone on the team should be aligned with and understand not only the goal of the project, but the priority of the objectives needed to get to the finish line.
